User Types and Project Roles
User Types
The type of user you are assigned determines the pages and features you have access to in the software.
User types are chosen whenever you invite someone to the platform. Each person can be assigned 1 user type.
There are 3 user types: Administrator, Procurement Staff, and User.
User Type | Description | Who/How Many People to Assign |
1. Administrator | Can create, edit, and archive any solicitation, document template, configuration setting. Responsible for managing and maintaining the organization's data/information, including users, document templates, and active projects.
| Any individuals who have extensive knowledge of your procurement language, processes, and comfortability working with new technologies would do well in the Administrator role.
Typically a small group of 3-6 users are assigned to the Administrator role. These individuals are responsible for overseeing and supporting the use of the software, and improving it to meet your business needs over time.

2. Procurement Staff | Can create and manage solicitations. Full permissions to create, edit, delete anything inside a solicitation they create. Can archive solicitations they create. Responsible for managing solicitations and updating statuses.
| Any individuals who are responsible for leading the development of solicitation document packages should be assigned to this role.
This number of users might range from 10-50+ people depending on the size of your organization.

3. User | Can contribute to solicitations with limited permissions depending. Users are team members invited to contribute to projects with limited permissions. User are typically assigned three solicitation different roles: Guest Contributor; Guest Viewer; or Reviewer.
| Any individuals in your organization who contribute subject matter expertise to your documents – such as colleagues from your Legal, IT, Business, Manager/Executive teams – can be assigned this role.
The number of people to assign will depend on the size of your organization. It may be greater, the same, or smaller than the number of Procurement Officers.

Project Roles
In projects, you can assign people to 1 of 5 different roles.
Each project role has a different set of permissions. You can assign people to different roles for different projects.
There are 5 project roles: Owner; Editor; Guest Contributor; Reviewer; and Guest Viewer.
Owners = Can view, edit and delete all items within solicitation including archiving the solicitation itself.
Editors = Can view, edit and delete all items within solicitation. Cannot archive solicitation.
Guest Contributor = View-only permissions; Can edit sections only when a document's permissions are updated to allow GC's. Can request to unlock any documents or sections.
Reviewer = Can comment and make tracked changes on all document sections in a solicitation.
Guest Viewer = View-only permissions; cannot make comments, track changes, or author new content.
After a project is created, Owners and Editors can change a person's role in a given project.
