Recommendations

The Recommendations feature enables organizations to apply their latest policies and template language to active projects.

Follow these steps to make the most of the Recommendations feature:
  1. Administrators' Actions:
    1. Navigate to the Configuration page.
    2. Modify template language or permissions as needed.
  2. Recommendation Generation:
    1. For relevant projects, a Recommendation and Task is created and assigned to the Solicitation Owner and Editors.
  3. Users' Actions:
    1. Users review Recommendations within their projects.
    2. Choose to accept, dismiss, or ignore the Recommendation.
Rules and Guidelines:
  1. Recommendations are applicable to section and variation templates, not document or other templates.
  2. When updating section/variation templates, Administrators can choose to Skip Recommendation Creation.
  3. Recommendations appear in solicitations with the following statuses: In Progress, Published, Addendum, Contracting.
  4. In Projects, users in the Owner and Editor roles can view, accept, or dismiss Recommendations.
  5. Recommendations must be reviewed and accepted for updated language to take effect.
  6. Only one Recommendation will appear for any given document section, featuring the latest language changes.
  7. When exporting a document to PDF or DOCX, the term "Recommendation" is excluded.



Creating and Reviewing Recommendations

Watch the instructional video or follow the steps below:

  1. [Administrators] Create Recommendations:
    1. Open Configuration Page > Document Template > Section/Variation Template > Edit and modify language > Save.
    2. In relevant solicitations, the system generates a "Recommendation" as a popup and a task titled "Review Section Recommendation."
  2. [Procurement Staff] Review Recommendations:
    1. Open solicitation > Tasks > Search for "Recommendation" > Click on the section.
    2. Review the language changes and choose:
      1. Make custom changes then Save and Resolve;
      2. Accept all changes; or
      3. Dismiss (with a justification)
    3. The Recommendation's language is applied or dismissed accordingly.
  3. Viewing Recommendation Activity:
    1. Access the Recommendation Activity log within solicitation documents.
    2. Recommendations can have one of four statuses: Created, Resolved and Completed, Dismissed, or Archived Automatically.
    3. If dismissed, view the provided user justification.

History of Recommendation Activity

  1. The Recommendation Activity log captures all Recommendations, displaying their statuses.
  2. Justifications for dismissed Recommendations are available for reference.
