Project Set Up and Inviting Vendor(s)

Lesson Overview

This article covers the set up controls within the Project Oversight, how to invite vendors into the project oversight stage, and other areas of the tool you should configure in setting up the project. 

Inviting Vendors to the Project Oversight Stage
At the top of the project oversight set up stage, you will see a box titled "Awardees." Here, all vendors who you have advanced (accepted bids) will appear. If no vendor appears in the list, you need to return to the previous stage to accept their bid or advance them to the next stage. 

In order to invite the vendor to the project oversight stage, you must click the blue "Invite to Project Oversight" next to the vendor's name. Until then, the vendor will not have access to the project oversight stage.


Controls in the Setup Sub-Stage

In the same "Set Up" substage are the controls available to configure the project oversight stage. You can set the: 
  1. start and end dates of the project
  2. turn on or off reporting for the government
  3. control the frequency with which reports are triggered in the system 
  4. set the primary contact for the project oversight who will receive all email notifications
  5. turn on or off whether vendors can add/edit milestones
  6. turn on or off the scope statement stage
  7. set the time zone for the project oversight dates.
Click "Update Project Management Stage" to save any changes.



Additional Considerations for Project Set Up

Milestone Set Up

Milestones are used for both reporting and invoice submissions, so setting up the project milestones is one of the first areas of the tool that should be configured. Please review the milestones help article for assistance setting up the milestones. 

Invoicing Set Up

If you are using the tool for invoicing, you should be sure to populate the "Financial Tracking" information when you set up the project. You can add these in the "Invoicing" substage. below the invoice table.
