Project Reports Overview

This article provides an overview of how reports can be used, how to create a report in the system, and how to access a report submitted.

Purpose

The reporting module is intended to provide a light-weight, flexible communication cadence between the government and the vendor(s) throughout the project oversight stage.  You can use these reports to provide quick updates on how the project has been going. 

Controls & Set Up

Cadence of Reports
Reports will be generated and assigned in the system throughout the length of the project at the frequency selected in the Set Up stage. The report assignments will not be generated after the end date of the project as listed in the project oversight stage. You can update these controls in the "Set Up" substage.

Government Reports (or Not)
In setting up the project oversight stage, the government can decide whether only vendors will submit reports or the government will also submit a report back to the vendor on how they feel the project has been going. This decision depends on what makes most sense for your project. If the government reports are turned off, you will see only one column in the reports table for the vendor. If government reporting is turned on, you will see two columns in the table: one for the government reports and one for the vendor reports.  As the government, you can access these controls under the "Set Up" stage under the "Enable Government Reports" control

Reporting with Multiple Vendors

If there are multiple vendors in the project oversight stage, only the government will see all vendors' reports. Vendors can only see their own reports and the reports submitted by the government to them.

How to Submit a Report

Submitting a Report via the Reports Table

Reports are generated in the system according to the frequency (daily, weekly, monthly, etc.) configured by the government. When a new report is generated, it will appear as a grey dot under the assigned parties column. Follow these steps to submit a report under your account:

Click on the grey dot under your name.

Complete the basic details of the report. Please note you can select multiple milestones if you worked on more than one.

Click "Update Project Report" to save the report to the system.


4.
Your saved report will appear in the table with the status color you selected.



Submitting a Report via the Tasks Tab

For each report and milestone you are assigned, a task is generated in the system. You can see all your upcoming tasks by navigating to the "Tasks" tab in the main navigation.

In the task tab, click on the report you need to submit.

In the pop-up that opens, click on "Open Project Report"



3.This will open the actual report to complete. Fill in the details and select "Update Project Report" to save the report and mark this task complete

Editing a Report

To edit a report you have submitted, follow these steps

Click on the colored dot of your report that you would like to edit.

In the pop-up that opens, click on "Open Project Report"

Update the details of the report as needed. Click "Update Project Report" to save those changes to the system.

How to View a Report

When a report is submitted, the dot under the submitting party's name will turn from grey (incomplete) into the red, yellow, or green color they chose to symbolize the health of this report. To view the report, simply click on that colored dot to open the report.
